  • What Health and Safety protocols are in place for the event?
    Please refer to the Health and Safety page for a more detailed view.
  • How will meals be served?
    Meals will be served Buffet style; we are working closely with the hotel to follow proper protocols ensuring servers are masked and gloved and that where possible we are limiting the number of people touching serving utensils, etc.
  • Where will meals be served? Will we all eat together?
    Yes, we will eat meals together at tables that will allow for some social distancing by limiting the number of people per table.
  • Conference seating or general size of space; what are the social distancing guidelines?
    We have reserved a large ballroom that will allow at least 3 feet of space between chairs.
  • Are all guests required to be fully vaccinated?
    Yes, all attendees will be fully vaccinated, including a booster shot for all who are eligible. For our U.S. team members, we will follow CDC guidelines, requiring a booster shot for all who are 6 months past their second dose of Pfizer or Moderna or 2 months past their initial dose of the J&J vaccine. For our international team members, we will follow the guidelines of your home country for getting a booster.
  • Will COVID-19 testing be required prior to arriving at the conference?
    Yes, all attendees and guests will be required to provide proof of a negative COVID-19 test result prior to arrival. Additional can be found on the Health and Safety page.
  • Will there be reimbursement for the COVID-19 test required before attendance?
    COVID-19 testing is available for free and covered by your insurance within most states/provinces and countries. We highly encourage exploring those options. If free testing options are not available in your area, you are able to submit an expense reimbursement via Concur for up to $50 or equivalent local currency.
  • What expenses are covered if you are driving?
    You are able to submit an expense report for mileage reimbursement at the federal rate of $0.56 per mile. These expenses cover both mileage, gas and wear & tear on your vehicle. Mileage reimbursement will be submitted through Concur.
  • If traveling all day, what is the per diem rate?"
    All meals will be provided as part of the conference Monday evening through the end of the conference. For meals while traveling to and from the conference, the amount that will be reimbursed with provided receipts are $10 for breakfast, $12 for lunch and $25 for dinner. These amounts include tax and tip.
  • Where should Concur expenses be coded?
    Use appropriate GL Code; Dept: 1010; Project Code for Comments Section: OneWorldStridesEvents
  • How do I book my hotel?
    You do NOT need to book your hotel, Based on your travel plans, we will arrange this for you. We will only cover housing from the 17th of January to the 19th of January. Exceptions will be made for those traveling internationally or from the west coast to cover an additional night of housing with departure on January 20th.
  • Will I be required to share a room?
    For this event, all team members will have their own room.
  • Do we need to stay overnight at the property if we live in the DC Area?
    Attendance and participation are mandatory for the full duration of the conference, including events scheduled for the evenings of January, 17 and January 18. To limit COVID-19 exposure and interaction outside of the conference and to maximize the conference experience, we highly encourage all participants to stay at the hotel.
  • Are guests (non-team members) permitted at the event and/or hotel?
    To limit any potential COVID-19 exposure and interaction with individuals outside of the conference, team members are not permitted to bring guests to the event or have guests stay with them at the hotel.
  • What is the address of the conference site and hotel?
    Washington Hilton, 1919 Connecticut Ave NW, Washington D.C.
  • Will parking passes be provided?
    Yes, you will receive them upon arrival to the conference site.
  • Would transportation from the airport to the hotel site be provided?
    Yes, there will be an airport shuttle transporting team members from DCA and IAD to the hotel. Team members flying into BWI will receive an Uber voucher.
  • Will transportation to and from the airport and my home be provided?
    Yes, all staff will receive Uber vouchers to cover the cost of travel to and from the airport and their home.
  • Are staff expected to carpool if they have a rental car?
    We highly encourage carpooling to align with our CSR goals, but it is not a requirement.
  • Will there be an organized bus/shuttle option for those interested who live in/near Charlottesville?
    Yes, there will be a shuttle for those interested. Communication was sent out to all Charlottesville team members. If you did not receive this email from the Conference Team, please email: One WorldStrides Conference from your address book so we can get you added to the list.
  • If I am interested in taking a train, would I need to contact GANT Travel to help assist, or would I book on own and be reimbursed?"
    All travel should be booked through the registration portal. There was space to provide the information for Gant to book travel by train.
