Let’s journey forward, where safety comes first

The following COVID-19 safety protocols are reviewed regularly in conjunction with our Medical Director are adjusted as needed.

COVID-19 Vaccination and Testing 

  • All attendees will be fully vaccinated, including a booster shot for all who are eligible.

    • For our U.S. team members, we will follow CDC guidelines, requiring a booster shot for all who are 06 months past their second dose of Pfizer or Moderna or 2 months past their initial dose of the J&J vaccine. For our international team members, we will follow the guidelines of your home country for getting a booster.

    • For maximum protection, your booster shot should be administered at least 14 days before the conference so if you haven’t had one yet and you are eligible, please do so as soon as possible to protect yourself and others. HR will be sending a link soon to upload our vaccine booster information to HR Cloud.

  • All conference participants must take an antigen test one day before travel

    • The test should be taken at a testing facility and a negative test result must be submitted through HR Cloud. Testing availability is limited so be sure to book your test now!

    • If you are unable to secure an appointment at a testing facility, you have the option of taking a home test.

    • If you are unable to secure an appointment at a testing facility for Sunday and are unable to purchase a home test, you may schedule an appointment at a testing facility for Saturday, January 15th.

    • International team members may use the same negative test result that they use to enter the U.S. 

    • All conference participants must provide a negative antigen test result to join the conference even if they have recently recovered from COVID-19

    • If you have been identified as a close contact of anyone who has tested positive for COVID-19 in the week leading up to the conference, your negative antigen test result must be from a test taken no earlier than 5 days from your date of exposure.

  • Upon arrival at the hotel, each conference participant will receive a COVID-19 test kit that includes two antigen tests

    • The first test will immediately be self-administered in a designated location and a negative test result will be required to join the conference.

    • The second test will be self-administered on Tuesday morning in your room and a negative test result will be required to join conference activities.

  • For international team members, our partners from GW Docs will be onsite to administer PCR or antigen tests as required to return home.

  • If anyone tests positive during the event they will be separated from the rest of the group and arrangements will be made to support them during their required isolation period. The Conference Team will work with GW Docs to facilitate contact tracing and notification.

Other Protocols 

At the advice of our Medical Director, for added protection, we are requiring that all participants wear either a KN95 (or equivalent such as FFP2 or KF94) mask OR double mask, preferably a disposable surgical mask with a cloth mask. All participants will be provided a reusable cloth WorldStrides mask at the Conference.

 

Conference activities will be designed to limit contact and respect social distancing.

 

All meals will be served and tended to by hotel staff (masked and gloved)

 

All seating arrangements will be based on current social distancing recommendations:

  • 3ft of distance in the theater and classroom.

  • 6 chairs per table for all banquet/meal seating.

 

We will have access to ample outdoor space at the hotel for mask breaks and socializing.
